Calhoun County World AIDS Day Committee Meeting Minutes Oct 2014 COMMITTEE NAME: World AIDS Day FUNCTION OF COMMITTEE: To plan and execute the annual World AIDS Day Observance CHAIR OF COMMITTEE: Rebecca Ogrodowski COMMITTEE MEMBERS: In attendance: Deb, Rev. Pat, Pastor Jon, Rebecca, Chris, Mike Date of Last Meeting: 9-12-2014 Date of Next Meeting: 11-14-2014 Action Items that are In Progress or Pending: Food CURRENT BARRIER: Need to get other food (fruit/veggies, tea, water), either at retail or find donations (can use Pride’s 501 to get donations/discounts). Mike will donate regular and decaf coffee. Pastor Jon to put this committee in touch with the BC Auxiliary re using St. Peter’s dishes. The church has a fully equipped kitchen, which we can use. The Fellowship Hall is available with tables and chairs. See Deanna/Ian for 501 (to get donations). BUDGET REQUIREMENTS: $200 Program - total time = 17 to 42 minutes CURRENT BARRIER: Need to finalize the program and performers, get proclamations from city and county. Possible program participants are: CARES, Battle Creek Pride, County Health Dept., Father Brian (social), Dr. Harrington, Rev. Pat (MC), Deb Program Order: 1 Welcome and general info - Pastor Jon (or his wife) - 3 min 2 Proclamations - City/County officials and MC - 5 min 3 Music - BC Pride Choir - 3 min 4 Deb’s Journey (the HIV/AIDS process) - Deb, Dr. Harrington, CARES, Father Brian, Health Department, Deanna (?) - 3 to 5 min per segment with 4 to 5 segments - 12 to 25 min 5 Music - BC Pride Choir - 3 min 6 Closing and invitation to fellowship and tabling - MC - 3 min BUDGET REQUIREMENTS: $100 (in-kind from St. Peter’s). Not budgeted, but could do small ($25) honorarium for performers on request Outreach/Marketing - Critiqued flier CURRENT BARRIER: Need to revise flier and send to Planned Parenthood for printing Need to find and communicate with tablers. All partner organizations (like PPMSM and St. Peter) have a free table. Others are charged $10 (fee waived case by case) BUDGET REQUIREMENTS: PPMSM doing in-kind. Budgeted amount is $100 for advertising. Volunteers - Need to create and post volunteer positions (with Pride and HandsOn BC, along with other sources) CURRENT BARRIER: Need to review position descriptions and revise, if needed. Have a table with at least one greeter at both entrances. These people will also invite people to eat and visit tablers after the ceremony. Need name tags and lanyards for volunteers and committee members/presenters (respectively). BUDGET REQUIREMENTS: $0 Building - Submitted Building Use Form to Pastor Jon to get signature from Property Committee. Mike is in charge of building use; see him with questions or needs. Areas to be used: entrances and entry ways, Wiggle Room (staging), sanctuary, restrooms, hallway, Luther Room (tabling), Fellowship Hall/kitchen (eating and food prep), Classroom 1 (HIV testing), Can enter building at 3p - 4p on Dec. 1. CURRENT BARRIER: Communication with St. Peter and the BC Auxiliary re availability of site and dishes. Need to create decorations/signage (signs with arrows for each area to be used, signs for donation baskets, BUDGET REQUIREMENTS: $0 Action Items Completed: Chose Carol Recher to provide cookies for $40. Recommendations: None Questions for the other Board Members or Committees: Ian - what do we need to do to get the $ transferred from St. Thomas to Pride?
