We are actively seeking an impeccable Payroll Specialist to assist one of our premier Chicago Loop clients with processing high-volume multi-state, multi-company, payrolls on a weekly and biweekly basis. The successful candidate will have experience performing all phases of the payroll cycle. Essential job functions: process weekly and biweekly payrolls for assigned region, complete and post transactions; duties include time and attendance and transaction balancing, tax set up analysis on an employee level, research and problem solving of payroll issues, transaction processing and required governmental reporting in an accurate and timely manner. Must be a team player and have experience working in a fast paced, ever-changing, work environment. Duties and Responsibilities ■ Review timecards, submit and balance electronic import into ADP EV5. ■ Run ADPR reports and Payroll reports for auditing purposes and others in the organization. ■ Update and maintain payroll files and databases to reflect personnel updates/changes. ■ Responsible for processing payroll for multiple states that are paid on a weekly and biweekly basis. ■ Perform regular payroll pay period audits on payroll processing and employee data to ensure payroll accuracy, integration accuracy, quality employee level data, and compliance with company policies, federal and state regulations, and SOX requirements. ■ Perform specialized payroll calculations such as retroactive pay and tax gross up amounts (gross to net) in a multi-state environment. ■ Process employee file maintenance transactions, i.e. general deductions, direct deposits, state tax elections, etc. ■ Timely and accurate completion of all items on payroll processing checklist, including, but not limited to: deduction arrears tracking, severance payment administration, direct deposit rejection processing, new hire setup, termination processing, time batch audits, review and resolution of all audit/verification reports, etc. ■ Troubleshoot data, integration, or payroll errors and communication with appropriate parties for resolution. ■ Maintenance of correct tax coding on employees records in multi-state environment with multiple local jurisdictions. ■ Provide timely resolution of garnishment, tax, or other payroll. ■ Calculate, enter and process off-cycle manual checks, voids, and payroll and tax jurisdiction adjustments using standardized forms and maintaining required logs. ■ Provide customer service to the employee population by responding to payroll inquiries via email, phone, or the HR Ticketing system. ■ Communicate effectively with payroll processors, time administrators, supervisors, HR, etc. in order to instruct or resolve any issues that might prevent timely payroll processing or result in data integrity issues. ■ Assist with Payroll processing optimization and standardization, demonstrating subject matter expertise in daily operations. Identifying opportunities to improve or automate tasks or processes that will result in more accuracy or efficiency. ■ Perform other duties as assigned or other payroll related functions as determined by the Assistant Payroll Manager or Director of Payroll. Skills / Qualifications ■ College degree and/or 5 years equivalent work experience. ■ Proficient user of ADP Enterprise V5 and ADP Enterprise e-Time V6 ■ Solid understanding of wage and hour law, payroll tax regulations ■ Ability to effectively and accurately calculate tax gross ups, and input wage and tax jurisdictional adjustments. ■ Ability to process a high volume workload efficiently, meet strict processing deadlines, and handle multiple tasks simultaneously and accurately. ■ Strong customer service orientation with track record of achieving results and exceeding customer expectations ■ Demonstrated willingness to initiate tasks, confront problems, propose solutions, continuously improve/change processes, and take ownership through resolution ■ Impeccable attention to detail and ability to maintain confidentiality is mandatory ■ Ability to work with diverse groups and cross-functional teams ■ Excellent oral and written communication skills with a collaborative work style Key attributes ■ Ability to present ideas in user-friendly language ■ Highly self-motivated and organized ■ Impeccable attention to detail ■ Ability to effectively prioritize and execute tasks in a high-pressure environment ■ Proven analytical and problem-solving abilities ■ Exceptional customer service orientation ■ Experience working in a team-oriented, collaborative environment ■ Exceptional written and oral communication skills ■ Exceptional interpersonal skills, with a focus on rapport-building, listening, and questioning skills ■ Intermediate proficiency in Microsoft Word and Excel required The ideal candidate will be a demonstrated self-starter, have ADP EV5 and Enterprise e-Time experience.
