Web Design and Maintenance Services Informal Bid Request The Texas A&M University-Corpus Christi National Alumni Association is soliciting a RFP from within its alumni for WEB DESIGN AND MAINTENENCE services. TIMELINE: Request for Proposals Sent Out: Monday, July 29, 2013 Deadline for Submission of Proposals {August 26, 2013} Finalist Proposal Demo {September 20 and 27, 2013 from 11-2pm} Expected Award of Contract {September 27, 2013} Expected Contract Start Date {October 15, 2013} SPECIFICATIONS: Submitted proposals / bids should include the following services: Descriptions of Services Administrator Privileges and Tools Administrator Tools are provided to enable one or more individuals to manage the website/page content, usage, reporting, and welcome/confirmation e-mail. Web content interfaces should be used to support creation and management of message content to enable administrators to create professional content without HTML coding (WordPress Preferred). Web developer provides administrators a single interface to manger their constituent’s profiles and activities. From one view of a user, administrators can easily manage their user profile data, modify or enter a “note” for a user’s, view their photo galleries, and change their privacy settings. The web developer must streamline the management of users for administrators into one easy to manage interface. Chapter or Club Pages Chapter and Club pages will establish an area within the site for chapter leaders to manage, broadcast content, upload pictures, post events, etc. All Chapters should fall within a single design template with multiple pages. Administrator will be able to ad, change or delete chapters as well as any content posted by others, giving administrators ability to manage and support brand integrity of the organization. Approval or alert to administrators should accompany any posts made by chapter leaders. Social Media Connections Website should interface SECURELY with different social media platforms (preferably Facebook, Twitter, Instagram, LinkedIn and Pinterest). This interface should allow secure login through social media and live streams from individuals desired social media feeds. It should also allow user to keep their profiles up-to-date and publish push notifications of their updates to social media. Data Reporting Website should have seamless reporting of current information to be exported into a usable format (ex: Microsoft Excel reports). Information updates should be easily accessed in terms of new updates, new contact information, new registrants, demographic information and location. Link Hosting Website should be able to host links to other University webpages of interest and also interface with links to other online forms and marketplace platforms. Job Board Website should contain a job board that allows users as well as administrators to enable job postings and resume postings for jobs. This will also allow users to access the interwebsite secure emailing to connect job seekers with hiring managers and vice versa. Administrator have the rights to remove positions or contact job post contact for questions. Events Calendar Website will need an event calendar that will allow users to find, view, and rsvp online. Events should also be able to be added to the event calendar to a personal calendar (outlook, icalendar,etc.) through the events calendar. Upcoming events should be easily viewable on the home page of the website. Calendar can be linked to a 3rd party calendar (Example: Google Calendar) as long as components like adding to personal calendar, event registration/rsvp can be linked). Form/ Registration Website should allow online RSVP for events and should be able to link to 3rd party pay site for payment. Online Registration Users should be able to login and register to use website as an alumni, parent, family or friend (these tags should be editable by administrator). All should be able to view website but alumni registrant forms must be submitted to administrator for approval to view membership directory and be labeled as a validated alumni. These tags should allow specific access to alumni to receive all access to the website but membership accessible to registered and validated members only. Member Profiles Website should allow user profiles to be created including name, name while student, location, social media links, contact information, photos, graduation year, major, college, bio, etc. Members should have the ability to make some or all information viewable to public. All information should be viewable to administrators. Member Directory Website should house a membership directory based on registrant’s information. Information may or may not be pre-populated. Users should also be allowed to link to other member profiles, view other member posts, and email SECURELY from member to member. Only verified alumni membership should have access to membership directory. Blog Website should house a news and announcements blog open to member use but moderated by administrators with the ability for administrators to remove content that could be damaging to the brand integrity of the organization. Mobile Responsive Website should be mobile responsive so users can view site on the go via a smart phone or tablet friendly view. Badge System Web creator should have the ability create widgets used to make badges that users can post on their profile to identify their college, class, interests, etc. This portion of website is negotiable. Customer Support Customer support and assistance should be provided to the administrators in case of problems, issues, or questions. *All proposals will be reviewed fairly and equitably PROPOSAL DEADLINE: All proposals must be submitted to Lori Garza on Monday, August 26, 2013 by NOON.
