AMEC North East Engineering Centre in Darlington are looking to strengthen their Project Management Team with a Project Administrator/Secretary. You will be a self starter, confident and organized ,used to working to tight deadlines as one of your main roles and responsibilities is to ensure the administrative requirements of the project are met effectively. Prime Responsibilities and duties are varied and will include the following. Proactive diary management for Project Management Team Create and issue weekly / monthly report Arrange travel / accommodation Take minutes at meetings as and when required Generate AMEC/Project associated forms (i.e. personnel Requisitions, New start forms, Travel Requisitions, Change Control, Interim Review) Arrange hardware/software, furniture etc for new starts joining the project Update contact list, seating plan, Project distribution list with new starts / leavers Liaise with Office Services for any office moves Arrange external meetings for project personnel Arrange lunches when required Ensure project holidays are arranged, recorded and subsequent holiday cover is arranged. Collate expenses for approval and distribute appropriately Ensure that stationery levels are maintained using the Corporate Materials System Assist with preparation of project documents Maintain accurate filling system for project letters, reports etc Maintain Project SharePoint site Raise and amend Purchase Orders using the Clients System (requires training on BP Procurement) Check money receipted against Purchase orders using the client system (requires training on BP Procurement) Upload documents on to the Client Sharepoint (requires training on BP Sharepoint) Update excel document and file all Purchase Orders for Client and third Party Purchase orders Copy and check timesheets for engineering - monthly Collate HSE Stats from sites and issue to HSE Department File and collate all HSE Observations from site Issue Contractor of the Month form to contractors Arrange internal meetings Scan and copy CDM Files Verify timesheets on the TimeNet system (requires training on AMEC TimeNet) Excellent salary and staff package with this role , working in a prime location in Lingfield point .
