UPPER CLUTHA PLUNKET AGM POSITIONS AVAILABLE FOR NOMINATION (President, Treasurer and Secretary) The Upper Clutha Plunket is holding its AGM at 7.30pm on Thursday 12th December 2013 at the Plunket Rooms on Ardmore Street. Come along, join in and become part of our team to lead Plunket into 2014. Hi there, I know your days are busy but please take a few minutes to read below. This year three of the major committee roles are becoming free. (President, Treasurer and Secretary) Plunket are therefore seeking nominations for these roles and others within the committee. A lot of hard work and effort has gone in over the past years to build up the Upper Clutha Plunket into what it is today with so much on offer. We were recently nominated for the Community Trust Power Awards and at the ceremony I heard a very valid point made that without a lot of the volunteer organisations in our communities we would not have a community! So very true. Please be a part of our great group and help make your community one you want to bring your children up in. At the moment the future of the Upper Clutha branch of Plunket is looking uncertain as the volunteer side of the organisation is in danger of closing down unless it can fill these roles at the AGM. The committee can not continue without a leader. It needs someone committed to Plunket to continue its good work into 2014. Please read the below and if you feel you can offer something or you are looking for your next challenge then get in touch. WE NEED YOU. Many thanks Carol Wyeth Upper Clutha Plunket President What is Plunket? Plunket is a national organisation, within which the government fund the Well Child Services for the Ministry of Health and this is supplied through our local Plunket Nurse through the Well Child check ups from birth to 5years. What do the Volunteer Committee Do? In the Upper Clutha all other services provided in the Plunket rooms are supported by the work of the volunteer committee. The Committee fund the role of the Room hostess and parent educator that enable a variety of free parenting education sessions at least three times a month. The committee are also responsible for the upkeep of the building, the running costs and the overall Plunket ‘product’ in the Upper Clutha Community, including providing baby change and feeding facilities at all of the local events. This is a big job and every year at least $20,000 needs to be raised to keep the building and community education services available. Having a committed group of volunteers is what makes this happen, through their ideas for local fundraising projects, dedication and time. Plunket have several events in their annual calendar to raise these funds like our Bi annual Garage Sale, and Plunket National Appeal Week. From raising our own funds Plunket are then able to annually apply for grants from a variety of funding groups. What can you offer? The amazing work of volunteer groups in the area is what makes the Upper Clutha such an amazing community to grow up in. If you are passionate about Plunket then get involved it is a great way to give something back to the community and very rewarding. Maybe get trained up for the treasurer role and learn new accounting skills, or come on board and co ordinate an event and learn new event management skills. Or step up and take on a President role and develop your people management skills. Maybe you have got under 5’s and would like to see something specific for your child/children- perhaps a course or a guest speaker then come along join the committee and put a voice to your thoughts and help them become a reality. Thank You A big thank you to all of the amazing volunteers that have offered their time for baking, street collecting or helping out at an event over the past year, your time is greatly appreciated. Already our calendar is filling up with local events for next year so if you want to see the Plunket Marquee up for feeding and baby changing then come along and make it happen!!!!. President/Meeting Coordinator: Setting up the agenda and chairing the monthly meetings. Being the face of Plunket and representing Plunket at meetings and or events within the community. Responsible for co-ordinating all Upper Clutha Plunkets activities and leads the committee members. Liaises with the Plunket nurse, Room hostess and Parent Educator, as well as Plunket Area Office in Dunedin. Treasurer: Responsible for collating all of the financials of the committee and producing reports from templates for monthly meetings. Minutes Secretary: Taking down the minutes from the monthly meetings to be finalised by the Chair and passed out to the committee members. Correspondence Secretary: Checking the hotmail account and passing on relevant emails to committee or room hostess as appropriate. Grants Coordinator : Responsible for completing the relevant forms and collating the right information required by the different grant boards to help raise funds for the room hostess, parent educator and room costs, and any other event or item that may require additional funding. Liaises with the president and treasurer. Newsletter Co-ordinator: Collate and put together the seasonal/bi annual newsletter and send out to database Calendar Co-ordinator: Collate and liaise with room hostess and committee to get calendar out to database as well as any other relevant monthly information. Garage Sale coordinator: Coordinate and runs the bi annual garage sale, organising venue, date, advertising and organising stall numbers. Events Coordinators: We have a number of different events through the year and one person is normally responsible for one event. From the advertising or liaising with the organiser, getting volunteers if required, putting up the marquee, and any other special event requirements e.g.- A&P show, Warbirds, Wanakafest, Teddy Bears Picnic. Appeal Coordinator:- Responsible for arranging all of the supplies required, any rosters required, co ordinate phoning of volunteers, allocation of streets, pick up of collector packs, collection of collector pack- all systems all ready in place. Facebook Guru: Responsible for updating our face book page, liaising with Room hostess and Parent educator, correspondence secretary, event coordinators to make sure up to date information is put out to all our face book users. Maintenance Coordinator: Responsible for the general upkeep of the building and weeds within the grounds.
